Payment
We request a 15% non-refundable deposit when booking. Receipt of the deposit secures your booking. The remaining balance is required 30 days prior to your arrival date. The balance will be taken automatically if using our online booking system. If we do not receive your balance by this time, we will assume you have cancelled your holiday and release the dates – see below. For short lead-time bookings (i.e. those booked less than 30 days before arrival), the full amount will be requested to secure the booking. This may be taken as the deposit first and the balance immediately after.
Payments can be made securely by debit/credit card or bank transfer. By completing a booking, you authorise Prospect House Farm to securely store your card details for the purpose of processing the remaining balance and any post-stay charges relating to damage, cleaning, or breach of terms.
Late or failed balance payments may result in cancellation of the booking and loss of the deposit.
Cancellation by you
Our cancellation charges are calculated according to the time between when we receive notification from you that you wish to cancel your booking and the start of your booking.
More than 30 days: subject to 15% non-refundable deposit paid.
Within 30 days or after the booking start date: no refund.
We suggest you take out holiday insurance to cover any losses.
If a glamping unit or pitch becomes unavailable due to maintenance or unforeseen circumstances, we reserve the right to offer an alternative of equal standard, or a full refund if one cannot be provided.
The decision to close or cancel a stay due to adverse weather or unsafe conditions rests solely with Prospect House Farm management.
Cancellation by us
Prospect House Farm Campsite reserves the right to cancel a camping holiday at short notice if we are unable to provide a safe holiday environment, due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control. Under such circumstances, your full payment will be returned to you. Prospect House Farm Campsite cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation.
Special Conditions
If, as a result of Government restrictions on campsites, we are forced to cancel your holiday, we make a heartfelt request that rather than a refund, we instead hold your deposit as a credit against a later stay, valid for up to 12 months from your original holiday dates. If you postpone until the following year, your Greener Camping Club membership will be carried over to the end of that year.
As a small business, we are wholly dependent on your custom for our survival. We realise these are difficult times for all, but your support helps us get through this and continue to make Prospect House Farm Campsite a wonderful place to stay.
Arrival & Departure
You can arrive onsite between 3 pm (campsite), 4 pm (glamping cabins) and 8 pm on your arrival day. Departure by 12 pm (campsite), 10 am (glamping cabins), leaving your pitch clean and tidy with all rubbish recycled.
Late checkouts are subject to availability and may incur an additional fee. Unauthorised late departures may be charged to cover staff and cleaning delays.
Children and Adult Safety
There are many opportunities for play and adventure at Prospect House Farm Campsite; however, the farm is a working livestock farm and as such, farming activities do take place with large agricultural machinery and animals that may not be as friendly as you think. These risks should be self-evident – but if not clear, please ask!
Prospect House Farm Campsite accepts no responsibility for injury incurred on site. Parents are responsible for the supervision of their children at all times.
Cars & Campervans
The speed limit while on site is 5 mph. When camping in tents, cars must be parked in the car park area. Wheelbarrows are provided to move camping equipment from the gateway to your pitch.
Campervans must park in their designated pitch or parking area. Vehicle owners remain responsible for any damage caused by oil leaks or parking outside designated areas.
Recycling & Rubbish
A condition of camping here is that you recycle your rubbish. That means separating glass, cans, plastic, paper, cardboard and food waste, and placing them in the special bins provided. What is left – i.e. only items that are not recyclable – can be placed in the general waste bin.
A cleaning fee may be charged if rubbish or recycling is left unsorted or on pitches after departure.
Wildlife
Prospect House Farm is blessed with wildlife – it will literally be all around you. At night you’ll hear the hoot of owls, or maybe something scurrying around. They may be on the hunt for an easy meal, or curious to explore your camp. They could try to raid your food stocks and recycling.
One or two simple precautions will help: put your food in suitable, hard containers and your recycling in the bins provided. Don’t leave food scraps lying around and make sure your tent is zipped up at bedtime.
Campfires & Firewood
Where and when permitted, please only use firepits that are raised off the ground for campfires, you’re welcome to bring your own, or we have them to hire on site. Wood and kindling must be purchased on site to ensure sustainability. Please burn only wood, not tins or plastic as we recycle the ash to fertilise the fields and improve our soils. Please use the ash bins to dispose of ash when you need to. Strictly no disposable BBQs please! For safety reasons, no fireworks, sky lanterns, or similar items are permitted on site.
Consideration for Others
This is a peaceful, quiet campsite for the enjoyment of nature, and we have neighbours nearby. For the respect of everyone on site, we do not allow radios, stereos, or other sound systems, and we ask that only quiet talking is permitted after 10.00 pm.
Noisy visitors who disturb other guests will be asked politely to leave, without refund (this has never needed to happen).
If you are out for the night and arrive back late, please be considerate to residents and campers and make sure you have a torch, as you’ll need it to find your way to your tent or campervan.
As a Greener Camping Club site, if the behaviour of a member, or that of their children, causes nuisance to other members, or there is persistent violation of these terms and conditions, the Site Owner is empowered to instruct the Member to cease the behaviour/violation, or leave the site immediately without refund.
Day visitors are only permitted by prior agreement and fees may apply.
The Site Owner reserves the right to refuse future bookings from any guest whose behaviour has breached these terms or caused damage or disturbance.
Dogs and pets
Unfortunately, we do not accept dogs or any other pets on site.
Property Loss
Prospect House Farm cannot accept responsibility for loss, theft, or damage to personal property or vehicles while on site. We recommend guests obtain suitable holiday insurance to cover personal belongings.
Nothing in these terms affects your statutory rights as a consumer.
Smokers
All undercover facilities, including glamping cabins, are strictly NO SMOKING. If evidence of smoking or vaping is found inside the accommodation, an additional cleaning charge will apply, plus the cost of repairing or replacing any damaged items (for example, burnt furnishings or textiles).
These charges may be applied to the payment card provided at booking.
Breakages and Damage
Should any damage or breakages occur, other than acceptable wear and tear, a charge for repairs or replacement will be made. We reserve the right to charge for excessive cleaning where the accommodation or pitch has been left in an unacceptable condition, including waste, litter, interference with structure or contents, or damage caused by negligence, smoke, or fire.
Any such costs may be charged to the payment card used for the booking after your stay. Full details of any charge will be provided by email, including photographs and itemised costs.
By completing a booking, you authorise Prospect House Farm to recover these reasonable costs using the payment details supplied.
Nothing in these terms affects your statutory rights as a consumer.
Hot Tub Use
Our hot tubs are cleaned, sanitised, and water-tested between guests. Guests must follow the safety instructions provided. Use of the hot tub is entirely at your own risk.
Please do not use glass near the tub, and never add any products (such as bubble bath, oils, or charcoal). A cleaning charge will apply if the water is contaminated or debris is left in or around the tub.
Occupancy
Each glamping cabin has a set maximum occupancy which must not be exceeded. Visitors are only permitted by prior arrangement and must leave the site by 9 pm.
We reserve the right to terminate a stay if occupancy limits are breached without prior consent.
Prohibited Items
Firearms, air weapons, fireworks, sky lanterns, drones, and amplified sound systems are not permitted anywhere on site.
Greener Camping Club Memberships
We are part of the Greener Camping Club and anyone staying on the campsite in a tent, campervan, or motorhome must have a Greener Camping Club Membership per pitch.
If you cancel your booking, your £12 Greener Camping Club membership (where applicable) is non-refundable and you cannot withdraw your membership. You will continue to be a member of the Greener Camping Club and can continue to enjoy the benefits of your membership card and use it to stay at other GCC-certified campsites.
Privacy & Data Protection
We take your privacy seriously. Any personal or payment information you provide is used solely for managing your booking and is stored securely in accordance with UK data protection laws. We never share or sell guest information to third parties.
By booking directly with us, you consent to us contacting you with booking information, pre-arrival details, and occasional post-stay feedback requests or offers. You may opt out at any time.
Legal / Governing Law Clause
These terms and conditions are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the English courts.
